Purchasing and Stock Control

MenuMax stock control is based upon two main conceptual foundations - its structure as a set of locations and its treatment of commodities and recipes. A virtually unlimited number of locations may be set up, each one independent of the others. Any location can accept goods in, hold stock and issue goods out. Physical inventories, the production of recipe items and the supply/sale of products can all be undertaken at any location. The revenue for a location can be set against its stock cost to calculate a gross profit margin for the location. In all of these activities the goods under consideration can be either raw materials or finished products - MenuMax will cope equally with either.

MenuMax incorporates major developments in purchase ordering. The package permits minimum and maximum stock levels for each location along with a source of supply for that location. Where the source is internal (a main store, for instance) a stock requisition can be generated. For external items, orders for suppliers are produced. In both cases, the calculated figures can be adjusted by the operator for rounding off or to take account of other influences and the order/requisition can be printed or faxed to the vendor. Document formatting can be configured to match existing official stationery.

As an alternative method of generating requisitions and orders, MenuMax allows any previous requisition/order to be used as a basis for a new one by saving it as a template. The template is subsequently retrieved from disk, adjusted as necessary and re-issued under the new date. Clearly this is a major time saver where regular orders do not change much.

Orders and requisitions are held on disk until the goods are received/transferred. The transaction can then be finalized with a minimum of keystrokes. The record is retrieved from disk and may be processed in its entirety or, if short delivered, may be adjusted to reflect actual goods received. Prices may be adjusted as part of this procedure. Outstanding items may be left on back order or cancelled according to preference.

The MenuMax Audit Trail allows reports to be taken over any period as specified by the operator. In addition to a whole range of reports on goods received, stock issues, transfers and inventories, MenuMax also offers product histories showing purchases of an item over a period and supplier histories showing all transactions with a given supplier over a period.
